

US HR & Legal Operations Associate

Our Effective Ventures (US) Operations team (EV Ops) is looking for a remote, full-time Operations Associate.
We are looking to hire a US-based Operations Associate to play a vital role in our team. You will be tasked with streamlining administrative functions across HR and Legal sectors, from benefits and payroll administration to governance and corporate compliance. This role may be a good fit if you are detail-oriented, proactive, and motivated by the goals of effective altruism.
This entry-level role is engineered for individuals with experience or a strong interest in either HR or Legal operations, allowing the ideal candidate to excel in either aspect of the role while learning and contributing to the other. The role can be entry-level but previous work experience is preferred.
The Project and the Role
We’re looking for motivated, organized and altruistic people from diverse backgrounds to join us in this impactful work. For this role, we are seeking to hire an Operations Associate to join our Ops Team at Effective Ventures (US).
EV Ops aims to provide world-class operational support to organisations that are expected to have an outsized positive impact. We do this by providing the financial, legal, administrative, grantmaking, logistical, and fundraising support that enables many high-impact organisations to grow, including: CEA, 80,000 Hours, the Forethought Foundation, EA Funds, Giving What We Can, the Centre for the Governance of AI, Longview Philanthropy, Asterisk, and Non-trivial.
The role is designed to support your development and help prepare you for a career in operations.
You’ll work closely with our Head of HR, Jonathan Michel and the entire legal team. The role will grow as you develop, but you will start out by focusing on the following key responsibilities:
Key Responsibilities
Administration and Support
- HR
- Take ownership of tasks and processes concerning US payroll and benefits administration.
- Address queries related to US HR matters from our employees in a timely and efficient manner.
- Oversee the complete onboarding and offboarding life cycle for US-based employees.
- Actively identify and propose enhancements to current processes, administrative tasks, and automation systems.
- Legal
- Coordinate the intake and initial assessment of support requests directed toward the legal team.
- Manage and prioritize ongoing and incoming projects within the legal department.
- Handle calendaring and schedule management to ensure timely completion of legal tasks and commitments.
- Oversee the updating and maintenance of legal form templates, corporate filings, and official registrations.
- Provide assistance in risk management activities and insurance-related issues for the legal team.
Record-keeping
- HR
- Consistently review and update HR records to guarantee compliance with regulatory standards.
- Ensure the efficient and accurate synchronization of data between different teams and services (e.g. Finance team, Google Admin, Google Drive, Slack, UK HR platform).
- Legal
- Organize and maintain a comprehensive record-keeping system for the legal team.
- Develop and maintain system for tracking contracts and project scopes.
Governance and Compliance Support
- HR
- Review the personal data we retain on employees and work with our lawyers to ensure our retention policies are compliant.
- Complete and maintain state-specific tax registrations in compliance with regulations.
- Assist in the periodic review and updating of US contracts, NDAs, and internal policies as circumstances require.
- Aid in monitoring and proactively addressing potential HR-related risks.
- Legal
- Track and implement changes to corporate policies and procedures.
- Assist the corporate secretary in managing key books and records, including board meeting scheduling and documentation.
The ideal candidate
Ideal candidate traits:
- Highly Organized: You’ll be managing lots of small tasks, sub-projects, and relationships. A strong sense of organization is crucial.
- Service-Oriented: An enthusiasm for delivering exceptional service is vital. The capability to view and treat staff across various departments as valued stakeholders is key.
- Proactive Problem-solver: The role demands noticing inefficiencies and actively resolving them.
- Strong Communication and Interpersonal Skills: Effective verbal and written communication with a diverse range of stakeholders is critical.
- Thrives in Fast-Paced Environments: Due to the often rapid nature of operations, a keen attention to detail is indispensable to avoid costly mistakes.
Preferred, but not required:
- Experience in US HR administration.
- Experience as a paralegal, legal assistant, or legal secretary.

Salary and benefits
This is a full-time remote position. Candidates will need to be based in the US for this role, however we will accept overseas applicants and consider visa sponsorship and relocation if needed.
Your starting salary range is $50,000 to $68,000, depending on experience and location. There may be flexibility in salary for exceptional candidates with significant experience.
